What a Good Photo Looks Like

For an accurate quote we need two photos of every stump — one top-down with a tape measure across the root ball, one side view showing the elevated mound. Here’s what good looks like — and what doesn’t.

The simple checklist for every quote request:
  • 📷 Top-down photo with tape measure across the widest point of the root ball (not just the trunk)
  • 📷 Side view photo showing the elevated root ball and surrounding ground level
  • 📍 Address so we can confirm service area
  • 📝 Access notes if there’s anything unusual (locked gate, narrow side yard, hillside, multiple stumps)

What Happens After You Accept

Once you say yes, the rest runs through our online client portal. No phone tag, no missed calls — everything in one place.

Quote in Your Hub

You get a text and email with a link to your private Client Hub page. No password — just tap the link. Review the quote, approve it online. Most jobs need no deposit at all — you pay at completion. The exceptions are large jobs over $1,000 (25% at acceptance) and work well outside our service area, both paid through the same secure link.

Confirmation & Reminders

Once approved, your appointment locks in. You’ll get an automatic reminder text 2 days before, and another the morning of the job. Reschedule online anytime.

“On My Way” Text

Day of the job, Nick texts when he’s leaving for your address with an ETA. Plan to be on-site at completion (or have card-on-file authorization in place if you can’t be). We’ll text again when 30 minutes from finishing.

The Work

Nick arrives in the TerraGuard truck, lays ground protection mats, grinds, then spreads and levels the wood chips across the depression as natural mulch — work area cleaned, nothing left in a pile. Standard depth 4–6″ below grade; deep grind to 12–18″ available if you mentioned it in the quote.

Walkthrough & Payment

Nick walks the work area with you to confirm everything looks right, then you pay before he leaves — Tap to Pay (30 seconds), card, ACH, Apple/Google Pay, check, or cash. Photos and receipt land in your Client Hub same day. Card-on-file customers get the same package by text.

1-Year Re-Grind Guarantee

Before We Arrive — Your Quick Prep Checklist

A few things on your end keep us efficient and safe — and prevent the rare callback when we can’t complete the job. None of this is hard. The day we arrive, ten minutes of prep on your part saves us thirty.

⚡ Mark Private Utilities Yourself

We call 811 (“Call Before You Dig”) before every job, which gets the public utilities marked: gas, electric, water, telecom. 811 does NOT cover private lines on your property — those are your responsibility.

Things to mark with paint, flags, or stakes if they’re anywhere near the stump:

  • Sprinkler / irrigation lines and heads
  • Drainage tile, French drains, sump pump runs
  • Backyard low-voltage electrical (landscape lighting, pool, shed power)
  • Septic lines or fields
  • Invisible fence wire (pet containment)
  • Anything else you buried that we couldn’t possibly know about

🚪 Clear Access to the Stump

The SG-75 is a tracked machine — it’ll go anywhere we can drive it, but we need a continuous path from the truck to the stump.

  • Minimum 36″ wide at every gate, between fence sections, and through any narrow point (the machine is 35″ wide; we need an inch of clearance)
  • Navigable through the opening — no tight 90° turns at gates that are exactly 36″; a 40″+ gate is much better if you have one
  • Path clear of obstacles — toys, hoses, decorative rocks, garden ornaments, lawn furniture, pots, pet runs
  • If the only access requires fence section removal, we can do that — quoted with your job (see pricing)

🚛 Truck + Trailer Parking

We arrive with a truck and trailer (combined, about 35 feet). We need somewhere to park in front of your property close enough to efficiently unload and walk the grinder to the work area.

  • Driveway space if available, or street parking right out front
  • Not across the street, around the corner, or down the block — every extra foot is wasted unloading time
  • If your street has parking restrictions (HOA, permit, narrow lane), let us know upfront so we can plan
  • If you’ve got construction barriers, gates, or an obstructed driveway, please clear them before we arrive

🐕 Pets & Kids Indoors

Stump grinding involves a high-RPM cutter wheel and wood chips moving fast. Bystanders inside the 25-foot safety perimeter is a hard no for us.

  • Dogs inside or in a separate fenced area — not in the yard where we’re working, even if they’re “well-behaved.” A startled dog around running equipment is not a risk we’ll take.
  • Kids inside until we’re done. Curious kids can watch from a window — we can give a brief safe demonstration to interested kids after the machine is shut off.
  • Pick up dog waste. Honest ask: please walk the yard and clean up before we arrive. We’ve gotten our boots stuck in some surprising things.

🧹 Quick Yard Prep

  • Identify the stump(s) if there’s any chance of confusion — flag with a stake, ribbon, or photo. If it’s the only stump, no need.
  • Move loose items out of the work area — patio cushions, planters, hoses, sprinklers (if portable), bird baths, decorative rocks, lawn ornaments. Anything within 10 feet of the stump.
  • Don’t soak the area before we arrive. Light rain is fine; saturated ground is a safety problem (unsafe footing on hillsides, increased risk of damage to lawn).
  • Vehicles in the work area — please move them out before we arrive. We won’t grind near a parked car.

📞 Be Available at Completion

Plan to be on-site when Nick wraps up so we can walk the work area together and you can pay before he leaves. Most stump grinding takes 30–90 minutes from arrival to completion.

  • If you’ll be in meetings or at work during the scheduled time, you can authorize a card on file at quote acceptance — Nick auto-charges the balance at completion and texts you the receipt + photos
  • Either way, make sure your phone number on file is current — we’ll text when we’re 30 minutes from finishing
  • For backup if you’re unreachable mid-job (locked gate, unexpected utility, etc.), give us a secondary contact (spouse, neighbor, property manager)
If we can’t complete the job because of unaddressed access or safety issues:

If we arrive and find that access is blocked, utilities are unmarked and we hit one, dogs are loose in the work area, or other prep items haven’t been handled — and we can’t safely proceed — we’ll discuss options with you on-site. If we have to reschedule, a trip charge may apply on the second visit to cover the wasted travel. We much prefer to grind your stump than collect trip charges, so please use this checklist.

Is the quote firm?

Firm, valid 30 days, locked in by the documented diameter from the photo.

What if you can’t tell from the photo?

We’ll text back asking for a second angle or a better measurement. Worst case, we book a free in-person quote visit.

What if I’m outside your service area?

We’ll let you know within the same response. We cover Clark County, with our fastest turnaround on the east side — see stump grinding in Camas or east Vancouver for what coverage looks like there. Sometimes we’ll travel further for the right job — ask.

Can I get a quote for multiple stumps at once?
